The Accounting Clerk will pay invoices by verifying information, schedule and prepare disbursements, and obtain authorization of payment. They will also assist with research to analyze deductions or short payments to determine the accuracy and validity of deduction. Obtain any missing documentation to process deductions that are created at cash application. This position will require the employee to work overtime as needed. Overtime is scheduled based upon individual job responsibilities and the needs of the department. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Review customer deductions to determine their validity and make resolution recommendations based upon guidelines set by department management Research and either create charge back to the customer or carrier for any freight related deductions and claims that are deemed to be unauthorized and should be repaid Obtain missing customer deduction documents needed to verify and process deductions created at cash application. Either through customer portal or contacting customer directly Processing Reclamation/Damage deductions, ensuring products allocated to correct product line and completed during current period that deduction was taken Open electronic invoices received daily, sort and file electronically Process Accounts Payable invoices Review vendor statements Prepare and mail check payments to vendors on a weekly basis Sort incoming mail and post outgoing mail Assist with related special projects as assigned by Management QUALIFICATIONS: To perform this job successfully an individual must be able to perform each specific duty satisfactorily and with a minimum of supervision. EDUCATION and/or EXPERIENCE Minimum one year of experience in business office setting required. Accounting experience preferred. Experience with an ERP system is a plus Some college level course work preferred. KNOWLEDGE, SKILLS, AND ABILITIES Ability to enter data accurately with minimal errors. Knowledge of basic accounting principles Strong communication skills with the ability to effectively and professionally communicate across functional groups. Strong interpersonal skills, approachable, positive and flexible. Must be able to work interactively and proactively with internal and external parties at all levels. Resourceful and creative problem solver. Strong organizational, time management and problem-solving skills with the ability to work independently or as part of a team. Must be a self-starter and independent thinker with the ability to quickly react to situations. Demonstrate the ability to work on multiple tasks and/or projects at once with minimal assistance within a fast-paced result-driven environment. Proficient with MS Office, especially Word, Excel and PowerPoint. PHYSICAL DEMANDS Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Balancing: Maintaining body equilibrium to prevent falling when walking, standing or crouching on narrow, slippery or erratically moving surfaces. Stooping: Bending body downward and forward by bending spine at the waist. Reaching: Extending hand(s) and arm(s) in any direction. Standing: Remaining upright on the feet, particularly for sustained periods of time. Pushing: Using upper extremities to press against something with steady force in order to thrust forward, downward or outward. Pulling: Using upper extremities to exert force in order to draw, drag, haul or tug objects in a sustained motion. Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position to-position. This factor is important if it occurs to a considerable degree and requires the substantial use of the upper extremities and back muscles. Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling. Grasping: Applying pressure to an object with the fingers and palm. Feeling: Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips. Talking: Expressing or exchanging ideas by means of the spoken word; those activities where detailed or important spoken instructions must be conveyed to other workers accurately, loudly, or quickly. Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction, and having the ability to receive detailed information through oral communication, and making fine discriminations in sound. Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers. Medium work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or assembly at distances close to the eyes. The worker is required to have visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned or to make general observations of structures.
