Is involved in the development and implementation of educational opportunities for the residents. Has major responsibility for resident recruitment. Position Highlights:Robust educational program.Competitive salary and benefits.Great opportunity for professional growth.Position Responsibilities:GENERAL ADMINISTRATIVE SUPPORT AND OVERSIGHTManage day-to-day operations of the Otorhinolaryngology, Head & Neck Surgery residency and fellowship programs.Represent the program to other university offices, the public, and outside agencies.Perform or supervise duties as outlined for the role of Program Coordinator in the ACGME Common Program Requirements.Assist program director to maintain compliance with Program Requirements of the RRC and documentation thereof: assist in any accreditation site visits. Set-up and maintain various databases for residency tracking purposes including MedHub.Attend all residency and fellowship program-related meetings.Track all resident rotations on MedHub and other mandated reporting systems for reimbursement purposes.Collect and submit required information to ACGME (ADS system), ABOHNS and other professional organizations.Delegate appropriate tasks to the program assistant, including supervision, feedback and evaluation.Continually updates departmental education website.Coordinate schedules, onboarding and evaluations for rotating students.Oversee CME activities for department and serve as lead coordinator for annual department CME courseSupervise the creation and maintenance of a database of program graduates.Compose and distribute a semi-annual electronic newsletter to graduates.Coordinate activities involving graduates.Organize and coordinate extracurricular activities such as graduation and other social events. Inform residents of job opportunities and maintain a file of same. FACULTYSupport Program in maintaining records of faculty academic productivity as it relates to ACGME reporting requirements.Support Faculty and Chair in assembling promotion packets for submission to the Dean's office. RECRUITMENTCoordinate all phases of the recruiting process. Organize pre-interview dinners, interview day breakfasts, lunches, and overnight accommodations with resident hosts. Develop and produce all residency recruiting material with the Program Directors/Associate Directors. Be responsible for all types of communications with applicants. Manage the ERAS (Electronic Resident Application System) database. With assistance from the department administrative, prepare for, coordinate and host interview days. Organize House staff Selection Committee meetings.Assist Program Director in submitting Match list and prepare Match data. Work toward continual improvement in the recruitment process. RESIDENT APPOINTMENT & ORIENTATIONOrganize and coordinate orientation for incoming interns.Make annual updates/revisions to the orientation manuals, policies and procedures for residents.Assist residents in keeping BLS (Basic Life Support), ACLS (Advanced Cardiac Life Support), PALS (Pediatric Advanced Life Support), and NRP (Neonatal Resuscitation Program) certification current.Ensure residents register for USMLE Step 3 exam (U.S. Medical Licensing Exam) and facilitate resident licensing. EDUCATIONAL PROGRAMSupport the Program Director and Faculty in developing and maintaining the curriculum.Track electives for residents and facilitate off-site electives.Prepare necessary paper work for all off-site resident rotations.Help plan and coordinate resident retreats and clinical conferences. Maintain records of ACGME mandated core competency modules.Provide support for faculty and resident research activities. Coordinate and schedule proctor for yearly In-Training Exam.Supervise acquisition of conference rooms for various educational and administrative meetings Coordinator of Alumni Relations. EVALUATIONSupport the Program Director and Assistant Program Directors in maintaining the functions and duties of the Program Evaluation Committee (PEC) and Clinical Competency Committee (CCC) as outlined in ACGME requirements.Coordinate and monitor bi-annual evaluations of residents, annual resident program evaluation.LEARNING AND WORK ENVIRONMENTEnsure house staff compliance with established policies and procedures.Review resident schedules and anticipate conflicts.Oversee and act as a resource to Residents, Fellows, and students rotating through the clinic Position Qualifications Include:B.A. or Equivalent. 2-3 years of experience as a Manager of a Residency Program with minimal or no supervision.Experience in Supervision and Development of support personnel.Organizational abilities, attention to detail, dependability, trustworthiness.Ability to take initiative and represent the Department independently.Excellent communication skills both verbal and written.Computer skills (word processing, data management, desk-top publishing, web page development, etc.).Ability to work with faculty, residents and students in a collegial and collaborative manner.Ability to manage multiple, simultaneous, ongoing program demands.Enthusiasm, patience, ability to work on a team, and a sense of humor.Marketing skills to promote the programs.
