Job Description:
POSITION PURPOSE : The Senior Payroll and Travel/Expense
Administrator is responsible for processing payroll for all US
based OWI employees, processing full cycle exempt and non-exempt
payrolls in a high-volume, multi-state environment and managing the
expense system and reimbursement. This position will respond to
payroll-related inquiries while working in close collaboration with
the Associate HR Managers and Talent Acquisition. In addition,
special projects will be assigned as needed. This role is a member
of the Human Resources Team.
DUTIES, TASKS AND RESPONSIBILITIES: Process weekly and semi-monthly
payroll, including bonus and incentive payroll. Perform payroll
system maintenance and updates.
Manage the relationship between OWI and ADP in terms of any payroll
questions, projects, inquiries, etc.
Perform adjustments to payroll, such as garnishments, deductions,
wage assignments, vacation, etc.
Review Time and Attendance information for completeness and
accuracy.
Administer tax liabilities and requirements in compliance with all
State and Federal laws and regulations.
Ensure completion and maintenance of required records, filings and
reports related to payroll. Complete monthly, quarterly, and yearly
reports and filings.
Act as the contact person for internal or external audits of
payroll records, systems and procedures for 401k audits, Worker's
Compensation audit and Worker's Compensation renewals.
Serve as a technical resource to HR and other departments to
address and resolve employee payroll related inquiries and
problems. Provide accurate, meaningful, and timely analysis of
payroll information.
Establish and maintain payroll policies and procedures. Make
recommendations for changes in policies and procedures as
appropriate.
Interpret and apply company policies, guidelines, and regulations
to ensure compliance. Keep current on all payroll-related laws,
policies, and regulations on-line and written resources, and
attending payroll seminars as needed.
Review current OWI Travel policy and partner with SAP to create and
train all employees on a robust policy which will align with the
SAP Concur system.
Partner with Finance and manage several journal entries, including:
SAP101-SAP115 for payroll related & direct debit
SAP115-SAP120 for T&E related
Payroll account reconciliations
Invoice to The Hurvis Group (family-owned company)
Assist with the cash rec (Payflex direct draw postings)
Maintain a current and thorough understanding of SAP Concur
Expense, with the ability to interact with internal departments
effectively and clearly.
Process Weekly expense reimbursement utilizing SAP Concur
Expense.
Partner with Concur to enhance the company's utilization of
functions, such as setting exception rules, workflow, creating
cases, monitoring expense types, etc
Work with ADP and Concur to create and maintain system generated
reports.
Stay current with Concurs innovation and application enhancements:
Attend webinars for new product features and product offerings.
Participate in the development of department goals, objectives, and
systems.
SKILLS, KNOWLEDGE, AND ABILITIES:
Bachelor's degree in Business Management, Accounting, Human
Resource Management or other related field. Equivalent work
experience considered.
5+ years' experience in processing multi-state payroll. Benefits
administration experience is a plus.
Experience working in SAP required.
Excellent time management and prioritization skills, the ability to
manage multiple activities simultaneously.
Computer literacy and understanding of software and internet
functions. Strong proficiency in spreadsheets (specifically MS
Excel) and performing moderate to complex calculations.
Working knowledge of relevant generally accepted accounting
principles.
Ability to calculate figures and amounts such as various payroll
deductions, state and federal taxes, social security taxes,
percentages, etc. Ability to apply concepts of basic algebra.
Ability to read, analyze and interpret payroll information and tax
regulations. Ability to prepare reports and business
correspondence.
Experience in HRIS systems and payroll systems.
Ability to communicate effectively, written and orally.
Self-starter with a positive, solutions-oriented attitude.
Proven track record of accuracy and attention to detail.
Use of logic and reasoning to identify solutions, conclusions, or
approaches to problems.
Understanding of confidentiality and proper handling of sensitive
information.
Be team oriented and able to jump in and help in any area of HR as
necessary.
