Our Employee Benefits Communication and Design team is looking for an experienced Communications Generalist to work closely with C&D project managers and designers, Hub employee benefit account teams and accounting team members to manage the production of communication materials and assist with the financial responsibilities of the C&D team, including processing vendor invoices and tracking client payments. The ideal candidate must be highly organized, flexible, detail-oriented and professional. The ability to meet strict deadlines and work well under pressure in a fast-paced environment is critical. A sense of humor and the ability to enjoy challenges is a must. This position can be based anywhere in the U.S. and is remote. Responsibilities: Process and track invoices by routing to appropriate personnel for approval and submit invoices to Accounting Department once approved by the appropriate manager. Create manual invoices and coordinate with clients on payment process and track/confirm payment status File and regulate all financial information in an organized fashion using project management system. Act as main point of contact for all team members, vendors, and sponsors regarding any financial matters. Complete monthly expense reports for assigned individuals. Assist in team event planning including hotel sourcing and booking, event booking and coordination, product ordering etc. Project Management (70%) Create timing for individual and new projects and ensure they are added to the project management system. Create and execute project schedule and make appropriate revisions on the timeline to effectively respond to the changing daily circumstances Be aware of individual team members' progress for each project; monitor daily progress of the work against established timelines. Track every project and know its status on a daily basis. Initiate, plan, execute, control and close projects. Adapt well to a highly process-driven role Consistently exercise effective communication and follow through and act as the account team's single point of contact during the project implementation. Ensure accurate and effective communication to involved parties (client facing or internal client leads/managers). Submit timely and accurate invoices for completed projects. General Dedicate extra hours that are required to complete tasks when projects are prevalent and the demands are high. Work toward the overall improvement of the organization.
